Internal Applications
Note: Making a change to this preference will have an immediate impact on
internal applicants and the information they are required to provide. Please
review the below options and relevant help topics before changing this
preference. Contact our support group if you have any questions about this
preference.
This preference controls the behavior of internal applications in your
AppliTrack system. Review the help topic "Understanding
Internal Postings - Flow Chart" for an overview of the different types
of internal application available.
Possible settings for Internal Application
- 1) None (default)
-
Use this value If you do not wish to post jobs as being available to internal
candidates. With this option, any internal candidate applying for a transfer or
new position must either complete the standard AppliTrack application, or use
an existing process outside of the AppliTrack system.
- 2) Simple
-
The Simple internal application allows you to post jobs for internal candidates
and accept a basic "request for transfer" form. When this option is enabled,
each job posting will be updated to include an "Internal" option - allowing you
to specify who should apply for the posting (internal candidates only, any
candidate, or any candidate after a specific date.) Each candidate completing
the simple application will specify up to three vacancies of interest as well
as some basic information about their current employment status. These
applicants will then appear to AppliTrack users when browsing within the
system. To review the simple internal application form, access the Example School District's internal application.
- 3) For Both Job IDs and Pools
-
Enabling this option allows you to fully customize the information gathered
from your internal applicants. When For Both Job IDs and Pools
is selected, every applicant will be required to indicate if they are a current
employee of the district. If the candidate is an existing employee, he/she will
have the ability to indicate their employment desires for individual vacancies
(Job IDs) and also position pools (Pools). This option allows you the greatest
amount of flexibility in the information you request from your applicants.
- 4)
For Job IDs Only
-
As with the "For Both Job IDs and Pools" option, enabling the For Job IDs
Only option allows you to create a dynamic application for your
internal applicants. When the For Job IDs Only option is
selected, internal applicants will be able to choose from only the available
job postings when submitting his/her application.
- 5) For Job Pools Only
-
As with the "For Both Job IDs and Pools" and "For Job IDs Only" options,
enabling the For Pools Only option allows you to create a
dynamic application for your internal applicants. When the For Pools Only
option is selected, internal applicants will be able to choose from only
position pools when submitting his/her application. This option is most often
used in districts where internal applicants do not choose one specific vacancy
over another, rather, their application [for transfer] is placed in a general
pool consideration amongst many possible open positions.
When the Internal Applications preference is set and saved as For Both Job
IDs and Pools, For Job IDs Only, or For Job
Pools Only, AppliTrack will present a new option for managing the
pages which are associated with the internal version of the application as
depicted in the below image.
The Manage External Application Pages and Manage Internal
Application Pages functions are similar to the standard "Manage
Application Pages". Whereas the "Manage Application Pages" tool allows control
over the pages appearing in any online application as well as the finishing
message for candidates, the Manage External Application Pages and
Manage Internal Application Pages functions impact the
external and internal applications respectively.
Important:
When changing the Internal Applications preference, all
application pages and application data are retained to preserve the original
application state. For example, if you have a number of applications that were
created using the "Simple" internal application, then you switch to using the
internal application for "For Both Job IDs and Pools", any application created
with the simple internal form will still print with only the basic information
provided by the candidate on the simple internal form.
When the Internal Applications preference is set and saved as For Both Job
IDs and Pools, For Job IDs Only, or For Job
Pools Only, AppliTrack will also present options for assigning
pages to categories, position types, and job postings which are associated with
the internal version of the application.
